7. CCTV & Data Protection

CCTV POLICY

Principles of use of CCTV

·         The CCTV systems are operated fairly, within the applicable law and only for the purpose for which it is established.
·         CCTV system is operated with due regard to the privacy of the individual.
·         CCTV equipment is only operated, and the output viewed by those with a legitimate reason to do so.
·         Use of the system by individuals and other authorities is dependent upon the willingness to comply with the Code of Practice and to be accountable.

Objectives of the CCTV systems

The overall purpose of the CCTV system is to make those parts of the car parks/facilities and buildings covered by the system safe and secure for the benefit of those who work or visit with its boundaries.

The CCTV system is intended to:
·         Assist in the prevention and detection of criminal activities
·         To ensure successful prosecution of offenders
·         To assist in public and employees safety
·         Deter acts of vandalism and anti social behavior
·         Traffic flow management
·         Reduce crime by promoting a safe environment for all

The key objectives of the system are to reduce:
·         Theft of and from vehicles
·         Acts Of vandalism
·         Property crime
·         Traffic management
·         Vandalism and public disorder

It is not Company policy to use CCTV system to monitor the performance of its employees; however, the Company reserves the rights to submit video evidence that may have been recorded during the normal operation of the system to substantiate allegations of misconduct.

DATA PROTECTION
The Data Protection Acts confer rights on individuals as well as placing responsibilities on those persons processing personal data. ‘Data’ means information in a form which can be processed and includes automated (generally information which is processed by computer) and manual data.
The legislation requires all organisations, companies and individuals who keep personal data to abide by the Data Protection Principles. These eight principles are:

·         Obtain and process information fairly
·         Keep it for one or more specified, explicit and lawful purpose
·         Use and disclose it only in ways compatible with these purposes
·         Keep it safe and secure
·         Maintain accurate, complete and up to date information
·         Ensure that it is adequate, relevant and not excessive
·         Retain information no longer than necessary for the purpose/s
·         When requested, give individuals copies of information about themselves

What this means for you is that:
·         You should not discuss details of IPairc, our colleagues or our customers outside of your work
·         It is particularly important that you do not pass any personal details of the above on to anyone who is not a colleague at IPairc and only pass on information to a colleague if there is a legitimate work reason to do so
·         You should inform your manager immediately if anyone asks you to disclose any such information even if the information requested is about themselves
·         You must read and fully complete a ‘Request for Release of Data’ record with all the requested details
·         If you do receive a request for information from outside of the Company and you are not sure about disclosing it, contact your manager immediately.
·         If you do receive a request for information from a colleague and you are not sure about disclosing it, inform your manager immediately.

6. Uniform Policy

All operational employees (who have completed their probation period) based in our facilities are issued with a IPairc uniform and name badge for use while they are on duty; this uniform remains the property of IPairc.

”Uniform” includes any item of clothing purchased by IPairc for employees. Our IPairc uniform is an essential part of our professional brand and image and must be worn in its entirety whilst on duty. Safety shoes (and as may be appropriate any other safety wear/PPE ) should also be worn as part of the uniform.

Employees should take reasonable care with their uniform and general appearance and be aware that whilst they are wearing the IPairc uniform they are representing IPairc and our high standards of customer service and care.

Employees who are still in their probation period must adhere to the same standards of care and appearance and wear the approved designated clothing as specified by IPairc.
